What information we collect
This policy covers visitors to glorycrown.co.uk and people who contact us about care. We collect:
- Enquiry details: your name, phone number, email address, how you heard about us and any notes you type into the contact form. You give us this directly.
- Phone, email and post: whatever you tell us when you contact us this way.
- Website usage data: pages visited, device and browser type and how you arrived at our site, collected through cookies and similar tools (see Cookies below).
Please do not put more detail than you need in the form. We will ask for anything else once we speak to you.
Why we use your information
UK data protection law requires us to have a lawful basis for each use of your information.
| What we do | Information used | Lawful basis |
|---|---|---|
| Reply to your enquiry and arrange a call or assessment | Name, phone, email, notes | Taking steps at your request before a contract, and our legitimate interest in answering enquiries |
| Assess whether we can meet someone's care needs | Details you give us about care needs | Your explicit consent (see Health information below) |
| Keep records and meet legal duties, including CQC requirements | Records of enquiries and care | Legal obligation |
| Understand how our website is used and improve it | Cookie and usage data | Your consent, where cookies are not essential |
| Keep our systems secure and prevent spam | Technical data such as IP address | Legitimate interest |
We do not sell your information, and we do not use it for automated decision-making.
Health information
If you or a relative tell us about health conditions or care needs when you enquire, that is “special category” data. We use it only to understand and respond to the enquiry, and we rely on your explicit consent to do so. If you are enquiring for someone else, please make sure they know and are happy for you to share it.
If you later become a client, we will give you a separate privacy notice explaining how we handle care records.
Who we share it with, how long we keep it, and security
Sharing. Only the people at Glorycrown who need your information to answer you can see it. We use trusted providers to run our website and email, including our website host (GoDaddy) and our email provider. They process data only on our instructions. We may share information with regulators, the NHS or the local authority where the law requires it, or where someone's safety is at risk. We do not share enquiry details for marketing by other companies.
Keeping it. Enquiries that do not lead to care are kept only for as long as we need them to deal with your enquiry, and are then deleted. If you become a client, care records are kept for the periods set by law and regulation.
Security. Our website uses HTTPS, access to our systems is restricted and protected by login controls, and our team is trained in confidentiality. No online system is completely secure, so please call us if you would rather not use the form.
Cookies and website analytics
Cookies are small files stored on your device. At the moment our website uses only essential cookies, which keep the site and contact form working and do not need consent.
If we add website analytics in future, we will only set analytics cookies if you accept them on a cookie banner, and we will update this policy first. You can also control cookies through your browser settings.
The home, About us and Reviews pages show our latest CQC rating using a widget supplied by the Care Quality Commission. When those pages load, your browser requests the widget from the CQC's website (cqc.org.uk), which means the CQC receives your IP address and browser details, as with any website you visit.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- have inaccurate information corrected
- ask us to delete your information, or restrict how we use it
- object to our use of it based on legitimate interests
- withdraw consent at any time, without affecting what we did before
- ask for your information in a portable format, where it applies
To use any of these rights, email smabena@glorycrown.co.uk or call 01622 804 574. We will reply within one month.
Complaints
Please tell us first so we can put things right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
